FINANCE ASSISTANT

Under the direction and supervision of the Library Director, this position is responsible for the accounts payable and receivable process; payroll processing; cash management; internal controls, and employee, vendor and financial records management functions for the Library District.

DUTIES AND RESPONSIBILITIES: Timely processing and payment of invoices for the Library’s vendors • Maintain an organized system of files and records for all payees/vendors and employees • Work with all departments to ensure the submission of appropriate documentation in accordance with the District’s purchasing policy • Maintain records of cash and credit card payments and prepare cash deposits • maintain accurate records of tax payments • Understand and implement the internal controls built into the accounting process; performing internal audits, adhering to standards set forth in procedures and policies. • Prepare monthly financial reports and account reconciliations • Assist in year-end procedures, the closing of accounting cycles and providing documentation to auditors. •Maintain inventory • Complete other projects and tasks as assigned by the Library Director

QUALIFICATIONS • Associates degree or higher • A minimum of three (3) years experience in bookkeeping/accounting field. • Knowledge and ability to perform general accounting procedures. • Proficiency with Microsoft Excel; familiarity with integrated accounting software systems (Sage 50 preferred) • experience with government fund accounting desirable.

REQUIRED KNOWLEDGE • Working knowledge of accounting principles. • Working knowledge of accounts payable and accounts receivable processing. • Working knowledge of payroll and employee records processing • Working knowledge of financial accounting software, Microsoft, Excel and Word • Strong attention to detail, math skills and problem solving abilities. • Strong organizational skills • Ability to compile information, prepare reports and create and update filing systems • Must enjoy working in fast-paced environment.

SCHEDULE – Weekday mornings (8:30 a.m. to 12:30 p.m).

COMPENSATION - Part Time, hourly position with a limit of 20 hours per week; participation in Illinois Municipal Retirement Fund. Hourly Rate – $16.00/hour.
